Facebook’s Admin Assist is the basic moderation tool built into every group. It’s handy for keeping spam out of the feed. But if your group feeds a business, moderation is only a small part of the job. You need to capture who’s joining, know which applicants are your best prospects, welcome them, and get them onto your email list. That’s what GroupCRM is built for.
This guide compares the two and shows how GroupCRM turns join requests into scored, synced leads.

Admin Assist keeps the feed tidy. GroupCRM turns join requests into customers.
What Facebook Admin Assist does
Admin Assist lets you set criteria so Facebook automatically declines or flags content, for example:
- Posts or comments containing specific keywords
- Posts with links, or links to particular sites
- Posts from people who recently joined the group
- Posts from accounts that are new to Facebook
Depending on your group, it can also act on join requests using basic criteria such as account age or whether membership questions were answered. Options vary between groups, so check Admin tools > Admin Assist for what you have.
For post moderation it’s fine, and our guide on how to stop spam in Facebook groups shows how to set it up alongside keyword alerts.
Where Admin Assist stops
Admin Assist was built for moderation, not lead capture. If your group is part of how you get clients, students or customers, these gaps cost you leads every day.
It doesn’t keep membership answers
Facebook shows membership answers on pending requests. Once you approve someone, those answers aren’t available in a form you can easily view or export. Admin Assist doesn’t save them anywhere, so the email you asked for is gone.
It doesn’t extract or sync emails
There’s no Admin Assist option to send new members to Mailchimp, Kit, HubSpot, ActiveCampaign or Google Sheets, and Facebook doesn’t offer a native export of join request answers.
It doesn’t score or prioritize people
Admin Assist approves or declines on simple yes/no criteria. It doesn’t rank requests or show you which applicants are the best fit for your offer.
It doesn’t message applicants
Admin Assist won’t send a welcome DM, a “you forgot your email” message before approval, or a polite decline message.
It can’t act on what people actually wrote
You can’t decline a request because an answer contains “forex” or “telegram,” or approve only people whose answer to “Are you a coach?” is “Yes.”
What GroupCRM does
GroupCRM is a Chrome extension plus a web dashboard at app.groupcrm.co. It runs inside your own logged-in Chrome, so you never share your Facebook password, and it catches up automatically on requests that arrived while your computer was asleep.
Captures every join request
For each pending request, GroupCRM saves the name, profile link, every membership answer, rules agreement, account age, city, mutual friends, friends in the group and groups in common. It pulls email addresses and phone numbers out of the answers before Facebook discards them on approval. More on the lead capture page.
Scores every lead from 0 to 100
Each request gets a score based on the signals you’d check by hand:
| Signal | Points |
|---|---|
| Email in answers | +30 |
| Phone in answers | +20 |
| Mutual friends | up to +15 |
| Friends in group | up to +10 |
| 3+ groups in common | +5 |
| Account age | up to +10 |
| All questions answered | +10 |
| Answer length | up to +10 |
The score is capped at 100, and you can use it as an auto-approve criterion so your best prospects are approved instantly.
Screens deeper, with rules you can test first
Each group can be set to off, capture only or auto. In auto mode, you choose criteria such as all questions answered, email or phone present, minimum lead score, minimum answer length, account age, mutual friends, friends in group, groups in common, location, expected answers, blocked keywords and blocking repeat applicants, and you can auto-decline anyone who doesn’t match. The Test rules simulator shows exactly what your rules would do on your real pending requests before you turn anything on. See auto-approve for details.
Syncs to your email platform and CRM
Native integrations with Mailchimp, Kit (ConvertKit), HubSpot, ActiveCampaign and Google Sheets, plus signed webhooks with automatic retries (member.captured, member.approved, member.declined) to Zapier, Make, n8n, GoHighLevel and 6,000+ apps.
Messages new and pending members
Welcome, pre-approval and decline DMs via Messenger, with variables [first_name], [full_name], [group_name] and [admin_name].
Gives you a real member CRM
A members table with tags, segments, notes, custom fields, a timeline per member and CSV export.
Built to protect your account
GroupCRM uses human-like pacing (random 3.5 to 9 second gaps between actions, with DMs spaced 45 to 120 seconds apart), hourly and daily caps you control (50 and 150 by default), a daily DM cap (30 by default), and pauses automatically on security checks, logouts and rate limits. The recommended setup
Let GroupCRM own the door
- Set the group to capture only for the first few days so every request is saved and scored while you keep approving by hand.
- Connect your email tool, for example the Mailchimp integration.
- Build approval rules (email present, all questions answered, minimum score, blocked keywords) and run Test rules on real pending requests.
- Switch to auto once the previews match what you’d decide yourself.
- Add a welcome DM and a pre-approval message for people who skip the email question.
Use Admin Assist for the feed
- Decline posts with links from members who joined recently.
- Decline posts and comments with your blocked keyword list.
- Turn on keyword alerts for words you want to review manually.
Keep one tool in charge of join requests
Let GroupCRM make the call on join requests and keep Admin Assist focused on posts and comments. One clear decision-maker at the door means you always know why someone was approved or declined, and every applicant is captured.
The bottom line
Admin Assist is fine for basic post moderation. It just wasn’t designed to build an email list or a CRM from your join requests. If your group is how you get clients, students or customers, GroupCRM is the tool that captures every request, scores it, approves the right people and syncs them to your email platform automatically. Frequently asked questions
Is Facebook Admin Assist free?
Yes. Admin Assist is built into Facebook groups and free for admins. You set it up under Admin tools in your group and choose criteria for automatically handling posts, comments and, where available, join requests.
Can Admin Assist save membership answers or emails?
No. Admin Assist can act on whether someone answered membership questions, but it does not export the answers, extract emails or send contacts to an email tool. Once a request is approved, the answers are no longer available in an exportable form. GroupCRM saves every answer, extracts email and phone, and syncs them automatically.
Which is better for growing an email list from a Facebook group?
GroupCRM. It captures every join request before approval, scores it 0–100, approves the right people by rules you can test first, and sends them straight to Mailchimp, Kit, HubSpot, ActiveCampaign, Google Sheets or 6,000+ apps via webhooks. Admin Assist has no lead capture or export.
Can I use Admin Assist and GroupCRM together?
Yes. Admin Assist is fine for post and comment moderation in the feed, while GroupCRM handles join requests, lead capture, scoring, member messages and email sync.
